Free Quotation Generator
Create a professional price quotation with line items, tax, validity date and a space for the client to accept.
Build a clear price quotation before the work starts. List what you will deliver, add tax and discounts, set how long the price is valid and leave a line for the client to accept it.
How to use the Quotation Generator
- Add the parties. Enter your business details and your client's name and address, then set the quotation number and date.
- List the work. Add each item with a short description, a quantity and a rate. Include tax or a discount if they apply.
- Set validity and download. Choose how long the price stays valid, read the preview and download the PDF to send to your client.
What is the Quotation Generator?
A quotation tells a client exactly what they will get and what it will cost before any work begins. A clear one wins trust, and once the client accepts it, it also becomes the reference if scope or price is questioned later.
Fill in your details, the client's details and each line item. Totals, tax and discounts update as you type, and there is a space at the bottom for the client to sign and accept. Pick your country at the top of the page to use the right currency and tax wording.
Quotation, estimate or proposal?
The three words are used loosely, but they mean different things to a client. A quotation is a fixed price for a defined piece of work, valid until a date, and once the client accepts it you are expected to deliver at that price. An estimate is your best guess of the cost, and it can change if the work turns out to be bigger. A proposal is a longer document that argues why you are the right choice and usually contains a quote. Use a quotation when you are sure of the scope and the cost.
What a good quotation includes
- A quotation number and the date you issued it
- A valid-until date, so the price does not stay open forever
- Your details and the client's details
- A line for each item or service with quantity and price
- Tax shown separately, with your registration number if you have one
- What is included and what is not, such as number of revisions, travel or materials
- Payment terms, for example a deposit before you start and the balance on delivery
- A place for the client to accept, signed and dated
How to price it so you do not lose money
Work out your hours and costs first, then add a buffer for changes. The Project Pricing Calculator turns your hours, costs and target margin into a price. If you are not sure about part of the scope, quote that part as a separate optional line instead of burying a guess in the total.
From quote to invoice
When the client accepts, keep the signed quotation with your records. When the work is done, open the Invoice Generator, copy the same lines across and add the invoice number and due date. If you took a deposit, show it as already paid so the client sees the balance due.
Tips for better results
Say what is not included, such as extra revisions, travel or third-party fees.
Give the quote an expiry date so a price from months ago is not expected to stand.
Once the client accepts, keep the signed copy with your project records.

Frequently asked questions
What is the difference between a quotation and an estimate?
A quotation is usually a fixed price the client can accept, while an estimate is an approximation that may change. Use the validity date and notes to make clear which one you are giving.
Can the client sign the quotation?
Yes. There is an acceptance line at the bottom, and you can also sign the PDF with the Sign PDF tool.
Can I turn the quotation into an invoice?
Yes. Once the work is done, open the Invoice Generator and copy the same line items across.
What columns and totals does the quotation have?
Each line has Description, Qty and Rate. Below the lines it adds a subtotal, plus discount %, tax % and shipping if you fill them in, and works out the total for you. Use Hide empty rows to keep unused lines off the printed page.
Which details does the quotation ask for?
You fill in the quotation number, the date, the valid until and the details for from and quote for. You can also add your logo and notes or terms.
Can I change the currency on the quotation?
Yes. Choose from about 48 currencies in the form, or pick the custom option, type your own symbol and set whether it goes before or after the amount.
Can I sign the quotation and print it on A4, Letter or A5?
Yes. Add your signature in Sign this document and drag it where you want it. Page setup lets you choose A4, US Letter or A5, portrait or landscape, and a long list of lines continues onto a new page.
