What is the Receipt Generator?

A receipt is proof that a payment was made. It protects the customer who paid and gives you a record for your books. This generator builds an itemised receipt with the payment method, tax and a PAID stamp, ready to download or send.

When you need to give a receipt

Give a receipt whenever money changes hands and the customer might need proof: a cash sale, a deposit, rent, a payment for services, or a sale at a market or online. Many businesses are required to keep records of sales for several years, so check how long your tax authority expects you to keep them. For a payment you are still waiting on, send an invoice first and issue the receipt once the money arrives.

What a receipt should show

  • The word Receipt and a receipt number
  • The date and, if useful, the time of payment
  • Your business name and contact details
  • The customer's name, if you know it
  • What was bought, with quantity and price
  • Tax, discount and the total paid
  • How it was paid: cash, card, bank transfer or another method
  • Any balance still owing

Receipt or invoice?

An invoice asks for payment. A receipt confirms that payment was received. If a customer pays you at the time of sale, you can issue a receipt and skip the invoice. If you invoice first, issue a receipt when the invoice is paid, and mention the invoice number so the two documents match.

Cash payments

Cash leaves no bank record, so a receipt matters most here. Write the amount, the date, who paid and who received it, and keep a copy. Giving the customer a signed receipt protects you if they later say they paid more or did not pay.

Tips for better results

Number receipts in order and never reuse a number.

Show the receipt number and the related invoice number if there is one.

Keep a copy. A PDF saved with the month's records is enough.

Frequently asked questions

Is a receipt a legal document?

A receipt is a written record that a payment was made, and it can be evidence if there is a dispute. Rules about what it must contain depend on your country and on whether you charge tax.

What is the difference between a receipt and an invoice?

An invoice requests payment. A receipt confirms that payment has been received.

Do I need a receipt for cash payments?

It is strongly recommended. A signed receipt is the only proof of a cash payment for both sides.

Can I add a PAID stamp?

Yes. The receipt shows a PAID stamp, and you can download it as a PDF or PNG or print it.

How long should I keep receipts?

Check your tax authority. Many require business records to be kept for several years.

What columns and totals does the receipt have?

Each line has Description, Qty and Rate. Below the lines it adds a subtotal, plus discount %, tax % and shipping if you fill them in, and works out the total for you. Use Hide empty rows to keep unused lines off the printed page.

Which details does the receipt ask for?

You fill in the receipt number, the payment date and the details for from and received from, plus payment method. You can also add your logo and notes or terms.
