What is the Invoice Generator?

Fill in your details on the left and watch the invoice build on the right. When it looks right, download it as a PDF or PNG, or print it. Nothing is uploaded: your invoice is built in your browser.

What every invoice should include

An invoice is a request for payment, and a missing detail is the most common reason a client delays it. Make sure yours shows:

  • The word Invoice and a unique invoice number
  • The invoice date and the payment due date
  • Your business name, address and contact details
  • The client's name and address
  • A clear description of each item or service, with quantity and unit price
  • Subtotal, tax, any discount and the total due
  • How to pay: bank details, payment link or accepted methods
  • Your tax registration number if you are registered (see the country notes below)

A worked example

A freelance designer works 10 hours at 75 per hour. That is a subtotal of 750. She gives a 10% loyalty discount (75), leaving 675. With 8% tax on the discounted amount (54), the total due is 729. Enter the same numbers in the tool and you will get the same result. The figures are only an example; your own tax rate depends on where you and your client are.

How to number your invoices

Use a simple sequence that never repeats, such as 001, 002, 003, or add the year: 2026-001. Avoid skipping numbers, because gaps make bookkeeping harder and can raise questions in an audit. If you invoice several clients, one running sequence is easier to keep than one per client.

Choosing payment terms

Payment terms tell the client when to pay. Net 7, Net 14 and Net 30 mean payment is due 7, 14 or 30 days after the invoice date. Shorter terms improve your cash flow; longer terms are common with larger companies. Put the due date itself on the invoice, not only the term, so there is nothing to calculate. If you charge late fees, state the rate on the invoice and in your contract. Our Late Fee Calculator shows what a fee adds up to.

Invoice requirements by country

Rules differ, and they change. Treat this as a starting point and confirm with your tax authority or accountant.

  • United States. There is no single federal invoice format. Sales tax is set by state and sometimes by city, and many services are not taxed at all. Keep a copy of every invoice for your records.
  • United Kingdom. If you are VAT registered, issue a VAT invoice that shows your VAT number, the date of supply, the VAT rate and the VAT amount for each rate. Number invoices in an unbroken sequence.
  • Canada. Businesses registered for GST or HST show their registration number on invoices. The amount of detail required rises with the size of the sale, and Quebec has its own QST rules.
  • Australia. A tax invoice is generally needed when a taxable sale is over 82.50 including GST and the buyer asks for one. It should say Tax invoice and show your ABN.

The tax figure in this tool is an estimate based on the rate you enter. It is not tax advice.

Invoice, receipt, estimate or proforma?

Common invoice mistakes

  • Leaving out the due date, so the client does not know when to pay
  • Vague descriptions such as Work done instead of what was delivered
  • Mixing up tax-inclusive and tax-exclusive prices
  • Reusing an invoice number
  • Sending the invoice to the wrong person; ask who approves payments
  • Forgetting your tax registration number when it is required

Tips for better results

Send the invoice the day the work is finished, with the total and the due date near the top.

Offer more than one way to pay, and mention the project name so the client can match it to an approval.

For regular clients, agree terms in a contract first. Our Freelance Contract Generator is a good start, and the Freelance Rate Calculator helps if you are not sure what to charge.

Frequently asked questions

What should an invoice include?

At minimum: an invoice number, the date, your details, the client's details, a description of what you sold with prices, the total, the due date and how to pay. Add your tax registration number if you are registered.

Is an invoice from a free generator valid?

There is no legal requirement to use special software. What matters is that the invoice contains the details your country requires and that you keep a copy. Check the country notes above or ask an accountant.

How do I add VAT, GST or sales tax?

Choose your country, then enter the tax rate in the tax field. The tool applies it to the discounted subtotal and shows the tax line separately. Check the correct rate with your tax authority.

How do I number invoices?

Use one running sequence such as 001, 002, 003, or include the year. Never reuse a number.

Can I add my logo and save my details?

Yes. Upload a logo, then use Save my business so your name, address and payment details are filled in next time. They are stored only in this browser.

What is the difference between an invoice and a receipt?

An invoice asks for payment. A receipt confirms it was received.

How do I send the invoice to my client?

Download the PDF and attach it to an email, or use the Send button to share it by email or WhatsApp. Say in the message when payment is due.
